Girl Scouts of Utah is actively hiring an administrative professional to assist various departments within the council. This is an ideal position for someone that likes variety in their work activities and ability to quickly adapt to changing work priorities. One day, you may be running errands for an event and the next day you may be printing marketing collateral to support recruitment and membership initiatives.


  • Provide administrative support to special projects within the council.
  • Type correspondence and other documents to include data entry, word processing, typing of letters, memos, forms, procedures, and spreadsheets (includes handling of confidential information).
  • Assist with the yearly Council Performance Indicator process including record gathering, organizing, reporting, and necessary follow up.
  • Provide administrative support to include telephone coverage, fax requests, photocopy projects, mail handling, supplies control, and necessary communications internally and externally.
  • Provide administrative support in the management of schedules and scheduling appointments for both internal and external sources.
  • Prepare agendas, notices, minutes and resolutions for council meetings.
  • Maintain record keeping and filing systems; classify, sort and file correspondence, records and other documents.
  • Arrange travel plans and itineraries, correspondence, and compile documents for travel-related meetings.
  • Maintain copies of important council documents, files, and ensure all documents and copies are updated as necessary.
  • Maintain the council's forms file, including assignment of form numbers, updating, posting on website as needed, and working closely with department directors for updating information.
  • Prepare expense reports, travel reimbursement, and reconcile credit card accounts.
  • Maintain confidentiality of all corporate, personnel, and research matters.
  • Perform special projects as assigned by the department heads
  • Provide backup support for other staff members, as deemed appropriate by team leader.
  • Models behavior consistent with the Mission and purpose of Girl Scouting.
  • Performs other duties as required or assigned.


  • Minimum two years in an executive or professional administrative position.
  • Demonstrated experience in word processing, document control, preparation of spreadsheets, and creation of presentation materials.
  • Strong data entry and keyboarding skills with demonstrated ability to handle high-volume tasks with accuracy.
  • Computer proficient in Microsoft office, spreadsheets, databases, email, internet applications, and internet research.
  • Detail oriented with strong organizational skills, ability to multi-task, prioritize projects, and effectively problem solve by identifying and resolving problems in a timely manner, gather and analyze information skillfully, and maintain confidentiality.
  • Exceptional written communication skills with the ability to edit work for spelling and grammar, present numerical data effectively, and able to read and interpret written information.
  • Excellent interpersonal and oral communication skills while achieving results in partnership with others.
  • High school diploma or equivalent. Associates degree preferred.
  • Ability to become a certified GSU driver.
  • Ability to work as a full-time, non-exempt staff member, which may include occasional evenings and weekends.
  • Ability to sit at a workstation for up to 2 hours at a time.
  • Ability to view a computer screen for up to 2 hours at a time.
