Purpose: The Project Specialist will play a key role in enhancing efforts for Girl Scouts of Utah by performing a wide variety of administrative and clerical support tasks. The project specialist will provide daily support for the business services team and on-going and special projects for multiple departments including, but not limited to Development, Human Resources, Product Program, Finance, Marketing and Membership on an on-going and as needed basis.

Job Accountabilities:

  • Maintain files and record keeping to support various departments (Development, Finance, HR, Marketing, Business Services and Product Program) at GSU.
  • Assist with the planning and execution of council-wide events. Provides administrative support for council wide events including, but not limited to printing signage and other collateral, secures other supplies (decorations, awards, etc.) for successful execution of events.
  • Maintain fundraising database to support ongoing operations of the development department including, but not limited to posting of gifts, generating reports to support donor stewardship and gift processing (including batch documentation, reporting, generating gift acknowledgement letters, invoices, pledges and coordinated mailings).
  • Maintain all aspects of the fund development database (Raiser's Edge) including information entry, data auditing, monitoring of database integrity, elimination of duplicate records, maintenance of users and security settings for the system, and remain up to date on new developments and features of the database.
  • Answer questions and support the needs of the supporters of Girl Scouts of Utah.
  • Serve as a liaison to vendors such as mail house, wealth screening catering companies, event space, to support the needs of the council.
  • Purchase, receive and store the office supplies ensuring that basic supplies for department are available.
  • Provide staff support to various sub-committees and to volunteers in order to effectively execute the council's strategic plans. Includes distributing meeting materials, taking minutes, and set-up and clean-up for all meetings.
  • Provide administrative support to departments on projects and recurring tasks for Development, Marketing, Human Resources, Business Services and Product Sales. Including, but not limited to: printing, sorting and executing on mass mailing projects, creation of surveys, forms, reports and other documentation
  • Reconcile with finance department to ensure all gift transactions are accurate.
  • Set up and close troop bank accounts as needed
  • As a member of the Business Services team, provide assistance in the Retail store and customer care units as needed.
  • Represent Girl Scouts of Utah in the community in a professional and personable manner.
  • Job duties may be subject to change pursuant to the activities of the department and the organization as a whole.

Qualifications:

  • Minimum two years' experience in non-profit, business or general office experience.
  • Computer proficient in Microsoft office (word, outlook and excel), databases, email, internet applications, and internet research. Preference of one to two years' experience with Blackbaud Raiser's Edge.
  • High school diploma or equivalent. Associates degree preferred.
  • Detail oriented with strong organizational skills, ability to multi-task, ability to work independently and prioritize projects with time-sensitive deadlines, gather and analyze information skillfully, maintain confidentiality, and manage multiple projects.
  • Excellent interpersonal communication skills and ability to achieve results in partnership with others and work effectively in a team atmosphere.
  • Excellent oral communication skills with the ability to speak clearly in positive or negative situations.
  • Excellent written communication skills with the ability to edit work for correct spelling and grammar, present numerical data effectively, and ability to read and interpret written information.
  • Demonstrated experience using fundraising databases and spreadsheets, including input, records maintenance, query design, and report production preferred.
  • Strong analytic skills, high level of accuracy, and excellent attention to detail.
  • Ability to work as a full-time team member, which will include some evenings and weekends
